Creating Lab Orders from Encounters

Lab orders can be created from two areas within the system:

  • Encounters
  • Results tab

The steps below describe how to create a lab order from Encounters.  For instructions on how to create lab orders from the Results Tab, please reference this guide

⚠️ Important Ordering Rules

  • Only one performing lab can be selected per order.
  • The system does not support ordering tests from multiple laboratories within a single order.
  • If tests from different laboratories are required, submit separate lab orders.
  • Tests are associated with the selected lab. To remove a lab from the order, all tests linked to that lab must first be removed.


Prerequisite Client Information

If you see the message “Lab ordering unavailable for this client,” the following fields must be completed in the Client Profile before ordering labs:

  • Sex Assigned at Birth – Client Profile → Demographic
  • Legal Sex – Client Profile → Demographic
  • Full Address – Client Profile → Contact Information

Navigate to the Client Profile

  1. From the left navigation menu, select Clients.
  2. Search for and open the appropriate Client Profile.
  3. Click the Encounters tab.

Start a New Encounter

  1. Click Start New Encounter.
  2. Select the appropriate Encounter Template if applicable. Lab orders can also be initiated directly from the Encounters dropdown menu.
  3. Within the encounter, navigate to the Dx, Orders & Plan tab.
  4. Locate the Lab Orders section.
  5. Click Add Lab Order or + Add More. This will open the Add Lab Order window.

Complete the Lab Order Form

To place a lab order, please complete the required and optional fields:

  • (Required) Performing Lab - this is the lab that will perform the test(s).  This is based on the labs configured to your account
  • Adding Tests and Panels you can add tests or panels two ways. At least one test or panel is required for the order to process:
    • Tests or Panels - You may search available tests, and you can add multiple tests or panels to the same order.  Once you select a test or panel, it will be added below
    • Template - If you have any templates loaded, you may select "Template."  This will automatically populate the Tests or Panels below.  If you would like to add additional tests to the order that were not part of the template, you may do so in the "Tests or Panels" section above.
  • (Required) Requestor - search for and select the ordering provider.  Please note that only Providers with an NPI can be selected as an ordering provider.  If a non-Provider user is creating the order on behalf of a provider (eg; student, assistant), please select the ordering provider.  Once it is submitted, the order will be placed in the "Needs Approval queue until the provider reviews and approves the order
  • (Optional) Episode of Care - Episode of Care can be selected to organize the information in the chart.  Lab results will go to the flow sheet, regardless of whether an Episode of Care is selected.
  • (Optional) Diagnoses - Search for and select the relevant diagnosis associated with the lab order.  Though this is not required, please note that this may impact insurance processing, if that is later selected.
  • (Required) Bill to - Select who will be billed for the lab.  Note that Insurance may be disabled, depending on your configuration with this lab.

You may also enter any additional notes related to the lab order.  If you collected the specimen in house, you can indicate that here, or select "Now" to automatically populate the current date and time.

Once Complete, press "Submit."  At this time, the order will be sent to the lab vendor, or move to a "Needs Approval" status for a provider to review.  You may then view the status of the labs in the practice dashboard.
