How to Create Schedule


Purpose - this feature is to provide a clear, centralized way for creating, managing, and viewing provider, location, and appointment and events types availability. By organizing schedules in one place, staff and clients can easily see when services are offered and which providers are available.

Prerequisite

Before creating a Schedule, ensure the following are set up in the Settings section:

  1. Location – The service location must be created in the system
  2. Provider Hours – Provider availability must be configured
  3. Appointment Types – The appointment or event types must be created and saved

⚠️ Important: This setup is not bi-directional. Information must first be entered in the Settings section in order for it to display correctly in Schedules and the Calendar.


Steps to creating schedules

  1. Open Schedule, from the main menu on the left, click Schedule
  2. Switch to the Schedules Tab, at the top of the page, you will see two options:
  • Calendar
  • Schedules
  1. Click Schedules to view all available schedules
  2. To add a new schedule:
  3. Click the + New Schedule button in the top-right corner
    1. Create a Schedule Name 
    2. Select a Location from the drop down menu 
    3. Select a Category from the drop down menu  - Appointment or Event 
    4. Select  +Add more
      • ⚠️It is very important to select +Add more and complete the subsequent steps
  4. Select one or more Appointment or Event Types 
  • Click Done 
  • Based on the selection, toggle the switch ON for the days the Appointment or Event type is available
  • Enter the start and end times for each day (e.g., 09:00 AM – 05:00 PM)
  • To add multiple availability blocks in a day (for example, to account for a lunch break), click the + symbol.
    • Example:
      1. Tuesday: 08:00 AM – 11:00 AM
      2. Tuesday: 01:00 PM – 05:00 PM
  • Review the schedule to make sure it is correct and repeat the steps if more than one appointment or event type was selected 
  • Select Providers - add one or more Providers that will be scheduled for this appointment or event
    1. Once all details are entered, click Add to save your updates
